Work Hours Calculator

Calculate daily shift duration, deduct unpaid meal breaks, convert clock time to decimal hours for timesheets, and estimate gross shift pay.

Work Hours & Payroll Timecard Calculator

Calculate net daily shift hours, deduct unpaid meal breaks, and compute decimal hours for timesheets.

e.g. 09:00 AM or 22:00

Calculation Steps
  • 1.Shift span: 9:00 AM to 5:30 PM = 8h 30m (510 minutes)
  • 2.Deduct unpaid break: 510 mins - 30 mins break = 480 net minutes
  • 3.Standard time: 8 hours and 0 minutes
  • 4.Decimal payroll hours: 480 ÷ 60 = 8.00 hours
  • 5.Estimated gross pay: 8.00 hrs × $25.00/hr = $200.00

Mathematical Formula & Calculation Method

Net Time = (End Time - Start Time) - Unpaid Break | Decimal = Hours + (Minutes / 60)

Formula Components:

  • Total Shift Span = End Clock Time - Start Clock Time (handles midnight rollover automatically)
  • Net Working Minutes = Total Span Minutes - Unpaid Break Minutes
  • Decimal Hours = Net Working Minutes ÷ 60 (rounded to 2 decimals for payroll)
  • Estimated Gross Earnings = Decimal Hours × Hourly Wage

How It Works

1

Enter shift start time (e.g. 09:00 AM).

2

Enter shift end time (e.g. 05:30 PM).

3

Enter unpaid meal break duration in minutes (e.g. 30 mins).

4

Optionally enter your hourly wage to see gross shift compensation.

Practical Calculation Examples

8:30 AM to 5:00 PM with 30-Minute Lunch Break ($25/hr)

Standard full-time office work day.

Step 1:Total clock span: 8 hours and 30 minutes (510 minutes).
Step 2:Deduct 30 min break: 510 - 30 = 480 minutes.
Step 3:Convert to decimal: 480 ÷ 60 = 8.00 decimal hours.
Step 4:Gross pay: 8.00 × $25.00 = $200.00.
Outcome: Net work time is 8 hours 0 mins (8.00 decimal hours); pay is $200.00.

Overnight Shift: 10:00 PM to 6:30 AM with 30-Minute Break

Night shift crossing midnight into the following morning.

Step 1:Shift crosses midnight: 2 hours before midnight + 6.5 hours after midnight = 8.5 hours (510 mins).
Step 2:Deduct 30 min break: 510 - 30 = 480 minutes (8.00 hours).
Outcome: Net work time is 8.00 hours.

Important Assumptions & Estimator Guidance

  • Shifts ending earlier than start time are automatically calculated as crossing midnight (+24 hour rollover).
  • Breaks are unpaid unless contractually agreed otherwise.
  • Overtime multipliers (e.g. 1.5× for hours over 8) are not applied to single-shift calculations.

Common Pitfalls & Mistakes to Avoid

Entering clock minutes directly into payroll timesheets

Writing 7.45 on a timesheet for 7 hours and 45 minutes results in an underpayment because 45 minutes is 0.75 hours, not 0.45 hours.

Correction: Always use decimal hours (e.g. 7.75) when reporting hours to payroll.

Frequently Asked Questions

Divide the minutes by 60. Common equivalents: 15 minutes = 0.25 hrs, 30 minutes = 0.50 hrs, 45 minutes = 0.75 hrs.
